What we collect and why
Enquiries
When you send an enquiry we collect your name, organisation, email address, phone number, the courses you are interested in, approximate staff numbers, venue preference and anything you add in the notes field. We use this to respond to your enquiry, prepare quotes and arrange training. Lawful basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to business enquiries.
Training bookings and delegate records
When an employer books training we process delegate information needed to run the course and issue evidence: names, job roles, work contact details, e-learning prerequisite completion, attendance and certificates. Lawful basis: performance of a contract with the employer, and our legitimate interest (and our clients' legal obligations) in maintaining accurate training records for regulatory evidence.
Client portal accounts
Portal users have an account with their name, work email and role. Sessions are secured with signed cookies (see our cookie policy). We keep an audit log of significant actions (such as sign-ins and record changes) to protect the security and integrity of client data.
Where your data lives
Our systems run on Google Cloud infrastructure in the London region (europe-west2), including our database and secure document storage for certificates and claim evidence. Emails are sent and received through Microsoft 365. These providers act as our processors under their standard data-protection terms.
Who we share information with
- Your employer, where training was booked by them (attendance, completion and certificates).
- Skills for Care or the relevant funding authority, only as needed to verify fully funded training.
- Our lived-experience co-trainers see delegate first names on session rosters only where needed to deliver training.
- Our infrastructure providers listed above, acting on our instructions.
We do not sell personal information, and we do not use it for third-party marketing.
How long we keep it
Enquiry details are kept for as long as needed to handle the enquiry and any follow-up, then deleted. Training and certificate records are kept while they remain evidence your employer may rely on, and are deleted or anonymised when no longer needed or on a valid request. Exact retention periods are available on request while we finalise our published schedule.
Your rights
You have the rights provided by UK GDPR, including access, correction, erasure, restriction and objection. Our systems include tooling to export or erase delegate and account data on request. To exercise any right, contact info@nurtrainingacademy.co.uk. If you are unhappy with how we handle your information, you can complain to the Information Commissioner's Office at ico.org.uk.
